Make the vehicle list useful.

Start with a consistent row for each unit: reference, vehicle, condition, origin, destination, ready date and contact. Mark exceptions such as missing keys, large dimensions or delayed release before grouping the load.

Phase the move around operations.

A location that can release twenty cars may only be able to receive five at a time. Agree on staging space and operating hours, then plan pickup and delivery batches around the people and space available.

Keep priority visible.

Separate must-move units from flexible inventory. If every vehicle is marked urgent, the plan loses useful information. Share what drives the deadline so available options can be assessed against the actual business need.
