Share access limitations before pickup is scheduled. Include steep driveways, turning restrictions, construction, gates and any rules about commercial trucks. The goal is to decide how the handoff will work before the carrier arrives.
Choose a meeting point deliberately.
If the requested property is unsuitable, discuss a nearby location with enough room for the truck and the loading activity. Do not assume any parking lot is available for commercial use; permission and local restrictions still matter.
Agree on the exact location, who will bring the vehicle there and how the parties will contact one another. A vague instruction to meet “near the highway” creates avoidable confusion, especially after dark or when the owner is arranging the move remotely.
Decide who is authorized to act.
The owner may use a representative to release or receive the vehicle where the transport terms permit it. Choose someone who can provide the keys, answer vehicle questions and review the condition paperwork. Give the coordinator the person’s name and working phone number.
An unattended vehicle with keys left in an unspecified place is not the same as an agreed handover. If you cannot be present, organize the alternative in advance and get the responsibilities confirmed.
Keep dates and windows distinct.
The earliest date a car can be released is different from a confirmed pickup window. A transit estimate is different from a delivery appointment. Make sure everyone uses the same meaning when discussing the schedule.
If you have a flight, a closing date or a dealer receiving deadline, explain it early. The coordinator needs that information to assess whether the proposed transport arrangement fits your plans.
