Check the facility before the vehicle.
Ask who can authorize release, which documents are required and when a transporter can enter. Some facilities need appointments or an employee present to retrieve the car. Confirm the actual collection address and loading area.
If you are arranging the move remotely, name a person who can answer questions while the carrier is there. A facility's general office number may not reach the employee who has the keys.
Describe present condition.
Arrange for the responsible person to check the vehicle's current state. Ask whether it starts, rolls, steers and brakes, whether the tires hold air and whether any leak or visible damage needs attention. Do not assume a battery boost will settle every loading issue.
Use the owner's manual for the vehicle and a qualified professional for mechanical concerns. Ford's 2018 Escape storage guidance, for example, calls for checking tire pressure, brake operation, fluid levels and leaks when returning the car to use. Transport planning should reflect the current condition review rather than require the driver to diagnose an unfamiliar stored vehicle on pickup day.
Prepare access and instructions.
Locate the keys, access cards and any special starting or shut-down instructions. Explain alarms, isolation switches or model-specific procedures in a concise written note. Follow the manufacturer's guidance where applicable.
Discuss covers, battery tenders, spare parts and other stored accessories individually. Confirm what will remain at the facility and what is accepted with the vehicle. Do not let miscellaneous items obscure the inspection or controls.
Document the release.
Take useful current photographs in adequate light. Include each side, wheels, glass and low bodywork, plus any existing marks. Keep them with the pickup record so the condition reference is current.
At the receiving end, make sure the recipient understands any operating limitations. If the car will return to storage, coordinate that facility's access, paperwork and receiving hours as part of the same move.
